These Terms of Use (“Terms”) govern your access to and use of the website located at www.crewdb.com and any associated applications, subdomains, or embedded instances on third-party websites (together, the “Platform”).
CrewDB provides an online environment for the management, discovery, collaboration, and administration of production crew members, suppliers, industry professionals, and related production workflows. The Platform includes:
By accessing or using the Platform, whether as a visitor or registered user, you agree to be bound by these Terms. If you do not accept these Terms, you must refrain from using the Platform.
Administrator — A person authorised by a Library Owner to manage its Library, Contributors, Crew Profiles, and Supplier Profiles.
Shortlist — A grouping of Crew Profiles and/or Supplier Profiles saved by a registered user within their account.
Contributor — A registered user, with permission from an Administrator, who submits, uploads, or maintains Crew Profiles, Supplier Profiles, production information, or related materials for a Library.
Crew Member — A registered user or individual represented within the Platform as a production crew professional.
Supplier — A registered user, company, or service provider represented within the Platform supplying services, equipment, facilities, or production-related support.
Content — All images, text, CVs, credits, metadata, production details, documents, and other material uploaded to or displayed within the Platform.
Crew / Supplier Profile — A page or record describing a crew member, freelancer, supplier, organisation, or production professional, including images, credits, contact details, and metadata.
Library — A dedicated, branded section of the Platform managed under a subscription, comprising Crew Profiles, Supplier Profiles, Projects, Collections, and related materials owned or managed by a Library Owner.
Library Owner — The registered business or organisation holding the subscription rights for a Library.
Registered User — Any person holding a verified account on the Platform.
Service — The operation of the Platform and its features, including AI-assisted search, Collections, Projects, Libraries, and collaboration tools.
Visitor — A person who accesses the Platform without registration.
Contributor Terms — Additional terms and conditions issued by a Library Owner that govern participation by Contributors within that Library.
Sublicence — The right granted by CrewDB to display, distribute, or make available User Content through public Collections, embedded instances, promotional materials, or integrations consistent with these Terms.
These Terms form a legally binding agreement between you and CrewDB. Your use of any part of the Platform constitutes acceptance of these Terms in full.
If you register an account, click to accept these Terms, or otherwise indicate consent (for example, by continuing to use the Platform after being notified of a change), you agree to comply with and be bound by them.
CrewDB may amend these Terms from time to time by publishing the updated version on the Platform. The revised Terms will take effect immediately upon publication. Registered Users will be notified of material changes by email or platform notice.
If you do not agree to a change in these Terms, you must discontinue your use of the Platform and, if applicable, close your account.
Certain features of the Platform require registration. To create an account, you must:
You are responsible for maintaining the confidentiality of your account credentials. You must not share your login details with any other person or allow another person to access the Platform through your account.
You must promptly notify CrewDB if you suspect that your account has been accessed without authorisation.
CrewDB reserves the right to suspend or terminate your account at any time where:

CrewDB reserves the right to monitor use of the Platform and to suspend or restrict access where misuse or excessive activity is detected.
CrewDB acts as a data controller for personal data processed through the Platform in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Full details of our data processing practices are provided in our Privacy Policy, which forms part of these Terms and is available on the Platform.
By using the Platform, you acknowledge that your personal data may be processed for the purposes of account administration, service improvement, communication, recruitment workflows, and production management in accordance with the Privacy Policy.
Where you submit personal data relating to another person (for example, within a Crew Profile, Supplier Profile, Project, or enquiry form), you confirm that you have obtained that person’s consent or have another lawful basis for doing so.
All intellectual property rights in and to the Platform, including its software, databases, design, logos, trade marks, AI systems, and underlying structure, are owned by or licensed to CrewDB. All rights are reserved.
Except as expressly permitted by these Terms, you must not copy, reproduce, distribute, transmit, publish, display, or create derivative works from any part of the Platform without prior written consent.
You are granted a limited, revocable, non-exclusive, non-transferable licence to access and use the Platform for the purposes set out in these Terms.
Nothing in these Terms confers any right, title, or interest in or to the intellectual property of CrewDB or any third party.
CrewDB may exercise its rights under these Terms by means of sublicence to third-party service providers, hosting platforms, integration partners, or embedded services solely for the purpose of operating, displaying, indexing, or promoting the Platform and its Libraries. Such sublicensing does not transfer ownership of User Content.
Registered Users may submit or upload images, CVs, biographies, credits, metadata, supplier information, project information, documents, and other material to the Platform (collectively, “User Content”).
You retain ownership of your User Content. However, by uploading or posting it, you grant to CrewDB a non-exclusive, worldwide, royalty-free, transferable and sublicensable licence to host, reproduce, distribute, communicate, publicly display, adapt, index, and process such content for the purposes of:

By uploading or sharing User Content, you consent to such content being made publicly accessible if included in a public Collection, Library, Project, or profile. You acknowledge that once made public, content may be viewed, indexed, or shared by other users or search engines.
You acknowledge that CrewDB is not obliged to review or monitor all User Content but may do so for compliance, moderation, or security purposes.
CrewDB may remove or restrict access to any User Content at its discretion where such content is, or is alleged to be, unlawful or in breach of these Terms.
You remain solely responsible for any User Content shared publicly, including through shared Collections, public profiles, Projects, or external links. You agree to indemnify CrewDB and its affiliates for any claim arising from unauthorised, unlawful, or infringing content shared by you.
A Contributor is a Registered User invited by a Library Owner or Administrator to supply, maintain, or update Crew Profiles, Supplier Profiles, Projects, or related materials within that Library.
An Administrator is appointed by a Library Owner to oversee the organisation’s Library and its Contributors. Administrators may manage permissions, publish or remove content, manage Projects, and respond to enquiries on behalf of the Library Owner.
Crew Members and Suppliers may also operate as roles within CrewDB Libraries and may upload, manage, or participate in Projects, Profiles, Collections, or related workflows where authorised by a Library Owner or Administrator.
Contributors, Crew Members, Suppliers, and Administrators must ensure that all content they upload:
Contributors further warrant that they have obtained any required permissions from individuals, employers, contractors, photographers, or rights holders for materials submitted and that such permissions extend to display and sharing under these Terms.
Library Owners bear overall responsibility for the acts or omissions of their Administrators and Contributors within the Library.
CrewDB reserves the right to suspend or remove Contributor or Administrator privileges where misuse, inaccuracy, or non-compliance occurs.
A Library is a subscription-based section of the Platform licensed to a Library Owner for the management and publication of Crew Profiles, Supplier Profiles, Projects, Collections, and related content.
Each Library Owner may appoint one or more Administrators and Contributors. The Library Owner retains full control and legal responsibility for all content hosted within its Library.
Subscription fees and billing cycles are specified at the point of purchase or renewal. Unless otherwise stated, all fees are payable annually in advance and are non-refundable.
CrewDB may suspend or terminate a Library subscription if:
Upon termination or expiry of a subscription, access to the Library and its associated content may be disabled. CrewDB may retain copies of content for audit, backup, legal compliance, or security purposes.
Library Owners must ensure that all content within their Libraries is lawful, accurate, and suitable for publication or sharing.
Each Library Owner may set specific additional terms and conditions (“Contributor Terms”) governing how Contributors engage with, submit content to, and participate within that Library.
These Contributor Terms may include requirements concerning:
Any Contributor who requests or is invited to join a Library must first review and accept the applicable Contributor Terms before submitting content.
CrewDB provides only the technical means for Library Owners to publish such terms and obtain Contributor acceptance. CrewDB is not a party to, nor responsible for, the enforcement or interpretation of any Contributor Terms.
In the event of conflict between these Terms and any Contributor Terms, these Terms shall prevail as between the user and CrewDB.
Registered Users may share Collections, Projects, Crew Profiles, or Supplier Profiles through public or private links. Any such shared material remains subject to these Terms.
Non-registered Visitors who access shared content are deemed to be “Visitors” under these Terms and agree to abide by applicable clauses regarding permitted use, conduct, privacy, and intellectual property protection.
CrewDB is not responsible for monitoring the distribution of shared links or third-party reuse of public content. Users share such content at their own risk.
Uploaders and Library Owners remain responsible for ensuring that all publicly shared material is lawfully owned or licensed and suitable for public display.
The Platform enables users, suppliers, organisations, and production professionals to send enquiries, recruitment requests, collaboration invitations, or other communications through the Platform.
CrewDB provides the communication channel only and is not a party to any resulting engagement, employment arrangement, contract, or agreement. All negotiations, hiring decisions, permissions, and contractual arrangements remain the sole responsibility of the relevant parties.
Users must not employ the communication systems for unsolicited advertising, spam, harassment, discriminatory conduct, or unlawful communications.
CrewDB accepts no liability for any representations made or actions taken by users in the course of such communications.
CrewDB may remove any content, restrict access, or suspend an account or Library where it reasonably believes that:
Where practicable, CrewDB will notify the affected user of the reason for suspension or removal and provide an opportunity to remedy the breach.
A user may request deletion of their account by written notice. Certain data may be retained as required by law or for legitimate business purposes, including fraud prevention, legal compliance, audit, and security.
Termination of access does not affect accrued rights or obligations existing prior to the date of termination.
The Platform and all related Services are provided on an “as is” and “as available” basis. CrewDB gives no warranty or representation that the Platform will be uninterrupted, error-free, secure, or free from defects.
To the fullest extent permitted by law, CrewDB excludes all conditions, warranties, and representations, whether express or implied, including any implied warranties of satisfactory quality, fitness for a particular purpose, or non-infringement.

In respect of paid subscriptions, CrewDB’s total aggregate liability arising under or in connection with these Terms shall not exceed the amount of the annual subscription fee paid by the relevant Library Owner during the twelve (12) months preceding the event giving rise to the claim.
You agree to indemnify, defend, and hold harmless CrewDB, its officers, employees, contractors, and affiliates from and against all claims, demands, losses, damages, costs, and expenses (including reasonable legal fees) arising out of or in connection with:
This indemnity shall survive termination of your account or of these Terms.
CrewDB does not guarantee that the Platform or any content, including AI-generated search results or recommendations, will meet your requirements or achieve any specific result.
AI-assisted outputs and user-generated materials are provided automatically and without human verification. They should not be regarded as authoritative, complete, or legally reliable.
All use of such outputs is at your own risk. CrewDB disclaims any liability arising from their use or interpretation.
CrewDB may revise these Terms from time to time. The most current version will always be published on the Platform with the effective date shown at the top.
Where material changes are made, registered users will be notified by reasonable means (for example, email or notice on login).
Continued use of the Platform after the revised Terms have taken effect constitutes acceptance of them. If you do not agree to the amended Terms, you must cease use of the Platform.
These Terms, and any dispute or claim arising out of or in connection with them, shall be governed by and construed in accordance with the laws of England and Wales.
The courts of England and Wales shall have exclusive jurisdiction to settle any such dispute or claim.
Nothing in this clause limits CrewDB’s right to seek injunctive or equitable relief in any jurisdiction where infringement of intellectual-property or confidential-information rights occurs.

Notices sent by email shall be deemed received on the next business day after transmission; notices sent by post, two (2) business days after posting within the UK, or five (5) business days if sent internationally.
If any provision of these Terms is held to be invalid, unlawful, or unenforceable, the remaining provisions shall continue in full force and effect.
These Terms, together with the Privacy Policy and any specific subscription agreement entered into with CrewDB, constitute the entire agreement between you and CrewDB relating to your use of the Platform and supersede all prior understandings or arrangements, whether written or oral.
